Screenshot is an essential feature for illustrating and documenting information in a Word document. Use the Snipping tool in the “Insert” tab:
To take screenshots in a Word document without any hassle, you can use the screenshot tool available in the Insert tab of the menu. Proceed as follows:
- Open your Word document.
- Place your cursor where you want to insert the screenshot.
- Go to the “Insert” tab in the menu bar at the top of Word.
- Click the “Capture” option in the “Images” group below “SmartArt” and “Graphics.” You will see a drop-down menu with two options: “Screenshot” and “Partial screenshot”.
- Select the appropriate option based on your needs.
- Word will then display a list of open windows on your desktop. Simply click on the window you want to capture, and Word will automatically insert the screenshot into your document.
- You can also take a partial screenshot by selecting the “Screenshot” option from the drop-down menu in the “Insert” tab at the bottom of “SmartArt” and “Graphics”. This allows you to manually select the area of the screen you want to capture.
Use Keyboard Shortcuts to Take Screenshots in Word
Apart from the screenshot tool found in the Insert tab, you can also use keystrokes or keyboard shortcuts to take screenshots directly in your Word document.
Using the Prnt Scrn key
The Prnt Scrn or PrtScn key on certain keyboards allows you to capture all the elements contained on your screen. To use it:
- Press the “PrtScn” (Print Screen) key on your keyboard to capture the entire screen. Sometimes you will have to press the function key (Fn) simultaneously for it to work.
- Then paste the image into your Word document by pressing “Ctrl + V”.
Use the Alt + Prnt Scrn combination
Unlike the Prnt Scrn key, the Alt + Prnt Scrn key combination allows you to capture a specific window on your screen.
- Press “Alt + PrtScn” to capture only the active window.
- Then paste the image into Word by pressing “Ctrl + V”.
